The first thing you should do in the Q&A is to subscribe to email notifications. This will ensure that you will receive an email notification when a new question is added, so that you don’t have to manually check for new content.
Go to the Q&A tab, select More actions and then Subscribe to Q&A notifications.
The Q&A module is built on the following principles:
- Each question is connected to a specific folder
- Different buyer groups cannot see each other’s questions and answers. This ensures complete confidentiality
- Users on the seller side can see all questions from all buyer groups
- Users on the buyer side can only add questions, users on the seller side can only answer questions
Inside the Q&A tab you can see the complete list of questions added by the buyers. Click the question in order to answer it.
You can add an attachment to your answer if necessary. You can choose to select an attachment that is already located in the relevant folder, or you can upload a new attachment. Should you want to upload a new attachment, you can choose to make the new attachment available for all buyer groups, or to only make it available to the buyer group who added the question.
Follow-up question
When the seller has posted an answer to the question, the buyer is given the opportunity to ask a follow-up question related to the initial question.
If the buyer chooses to ask a follow-up to question the answer given, the status of the question will be Unanswered. The seller must post an additional answer. The administrator of the portal can choose to deactivate for further follow-up question, if needed.
Filtering and exporting of the Q&A list
There are a variety of filtering/sorting options in the list of questions. To select what columns are shown in the list, go to More actions and then Configure. Put a checkmark next to the columns you want to display. Select the date format you want to display. Click Save to save your changes. You can sort the questions by clicking the name of the columns. (ID, Question, Status etc). You can filter the questions by clicking the filter boxes underneath the name of the columns.
It is also possible to export the entire Q&A list to Excel. To do this, go to More actions – Export to Excel. An excel document containing all the questions and answers will be downloaded to your computer.
