When you are in the need of controlling confidential or sensitive information in PDFs, the built-in Redaction tool in Admincontrol can be used to easy and efficient remove text, images and graphics.
Watch this video to learn more how to use our Redaction tool.
The seller's administrators and content administrators are given the possibility to remove sensitive content from PDFs safely inside the data room, by using our Redaction tool.
The Redaction tool is placed in the More action menu, available for all PDFs, except password protected documents and signed documents.
Redact manually
You start by marking the content that you would like to redact.
If you click/hoover over the marked area, a mini menu appears, and you are able to remove the marked area, customize the color of the redaction area or leave a comment.
When you have marked all content you would like to redact, click the Apply redactions button. Redaction will then be applied, and content removed.
When redactions are applied in the document, you need to save and publish it, so that it's available to users in the portal. Note that the redaction will be permanent, and not possible to undo.
Your redacted document is now saved and updated in the Admincontrol solution.
Redaction by search
You open the search panel by clicking on the search icon - search for some content, and the search results will be reflected in the document. You can apply redaction to all the search hits in one go with the Apply redaction button.
Please note that if you do another search, the previous hits will still be marked for redaction, and you can add as many search you like before you apply the redaction.
Outlines, bookmarks and comments
If your document has bookmarks, outlines and comments, the outline/comment panel will open and we advise you to look through this content for sensitive information as well. It’s not possible to redact the actual bookmarks, outlines or comment, but you are given the option to remove it.
Document Versions
If there is more than one version of the document, you will be informed about this before you start redacting so that you can be able to redact on every version if necessary.
Document copies
Please not that copies of documents will not be reflected by the redaction. So you need to redact on each copy separately if needed.
Signed documents
By default, redaction tool is disabled on signed documents, because any changes to the document, like redaction, will invalidate the signature.
But, if you are in the need of redacting signed documents, to be able to share them as documentation, there is still a possibility to enable the redaction tool to signed documents. Go to Settings - Redaction settings to enable this.
Keep in mind that the saving of redacted content and the invalidating of the signature will be permanent, there is no way of undoing this action. The user that initiates the redaction tool to a signed document will be given a warning about this.
Redaction history
When a document has been redacted it will be listed in the document properties table /redaction tab with the information about when and who did the redaction on the document.
