The Annual Plan offers a streamlined approach to scheduling Board meetings for future years. Administrators have the ability to set up meetings using the "Add Meeting to Plan" function located at the top of the table. This plan can be converted into a PDF for review and approval by the Chair or Board members.
Setting Up Meetings
- Details for Each Meeting: Administrators can specify the title, date, time, location, and key topics for each meeting.
- Defining Duration: The duration is determined by setting start and end times.
- Multi-Day Meetings: Use the "Add Date" function to schedule meetings over multiple days.
Finalizing the Plan
- Generate PDF: After adding all meetings, administrators can generate a PDF of the plan and save it to the documents area. This PDF is available for sharing with the Chairman and Board members or for approval as part of the Meeting Book.
- Creating and Publishing Meetings: Once approved, the administrator can create draft meetings and publish them to the Board meeting list or calendar. By using the "Create Meeting Draft" button in the Action row of the table, necessary changes can be made before finalizing. Once published, board members will have clear visibility of the topics scheduled for each meeting.
